Terms and conditions
1. YOUR BOOKING
Your date is confirmed once you have paid the deposit and we have emailed you to confirm. The booking is between [Venue name] and the couple named on it.
2. DEPOSIT
A deposit of [£1,000] reserves your date. It is taken off the total price of your wedding, not added to it.
3. PAYMENTS
The final balance is due [8] weeks before your wedding. If you are on a monthly payment plan, payments are due on the dates shown in your wedding portal. You can pay by card in your portal or by bank transfer. We will email you a reminder 7 days before each payment is due.
If a payment is more than [14] days late, we will contact you. If we cannot agree a solution, we may treat the booking as cancelled by you, and our cancellation policy will apply.
4. GUEST NUMBERS AND FINAL DETAILS
Please complete your final details form in your portal, including final guest numbers and dietary needs, by [6] weeks before your wedding. Numbers can go up after this if we can fit them in, but we cannot refund for guests who drop out after this date.
5. PRICES
Your price is fixed as shown in your booking confirmation. [For weddings booked more than 12 months ahead, we may review food and drink prices in line with our suppliers' costs. We will tell you in writing at least 3 months before your wedding, and if the increase is more than 5% you may cancel without any cancellation charge.]
6. CHANGING YOUR DATE
Please ask as soon as possible and we will always try to help. We can move your booking to another available date [free of charge, once / for an admin fee of £X], and the money you have paid moves with you. Prices for the new date may be different.
7. SUPPLIERS
[You are welcome to bring your own suppliers / Catering and bar are provided by us only.] All outside suppliers must have public liability insurance and follow our venue rules, including set-up and collection times.
8. ON THE DAY
Access for set-up from [time]. Music must finish by [time] and the venue must be clear by [time]. Candles must be in suitable holders. [Confetti: natural petal confetti outdoors only.] Please follow any instructions from our staff, especially on fire safety.
9. DAMAGE
You are responsible for any damage, beyond normal wear and tear, caused by you, your guests or your suppliers. We will show you evidence of any damage and charge only the reasonable cost of repair or replacement.
10. INSURANCE
We strongly recommend wedding insurance, taken out when you book.
11. IF WE HAVE TO CANCEL
If we cannot hold your wedding for any reason, including events outside our control such as fire, flood or government restrictions, we will offer you the first available alternative date at no extra cost, or a full refund of everything you have paid. The choice is yours.
12. YOUR RIGHTS
Nothing in these terms affects your legal rights as a consumer. We use your details only to manage your booking and will never share them for marketing.
Cancellation policy
If you need to cancel, please tell us in writing (email is fine) as soon as possible.
The deposit is non-refundable, as it covers the cost of reserving your date and turning other couples away.
Beyond the deposit, our cancellation charges reflect the costs and lost bookings we are likely to face, which grow as your date gets closer:
- More than 12 months before: deposit only
- 6 to 12 months before: [25%] of the total price
- 3 to 6 months before: [50%] of the total price
- 1 to 3 months before: [75%] of the total price
- Less than 1 month before: [90%] of the total price
These amounts include the deposit already paid. If you have paid more than the charge, we will refund the difference within 14 days. If you have paid less, the difference is due.
If we re-book your date, we will reduce your cancellation charge to cover only our actual losses plus a [£X] admin fee. We will never charge more than the loss we actually suffer.
